Neglia Group, a leading provider of civil engineering and consulting services, is looking for a talented, energetic, and self-motivated professional to provide office management and administrative support at their Mountainside, NJ location.    The ideal candidate will possess exceptional organizational, communication and client service skills, the ability to exercise discretion in maintaining the confidentiality of sensitive information, flexibility and initiative.

Job Responsibilities

  • Manage day-to-day operations of the office to ensure efficiency and productivity
  • Monitor office supplies and equipment, ensuring that necessary resources are available for staff
  • Oversee office appearance to ensure that conditions are acceptable
  • Answer, screen and route calls
  • Greet visitors
  • Maintain calendars, schedule and coordinate meetings and appointments
  • Assist in the preparation of reports, spreadsheets, letters, memoranda, agendas and schedules; collate and prepare materials for meetings
  • Review of email and written inquiries and preparation of timely responses as required
  • Filing, photocopying, scanning, faxing
  • Update and maintain corporate contact lists, files, databases, records and other documents
  • Prepare monthly billing reports
  • Prepare, monitor and analyze aging accounts; work with clients and management to secure overdue funds
  • Assist with projects and perform other tasks and assignments as needed
  • Support new hiring on-boarding
  • Collaborate with Mountainside associates as well as other members of the administrative team in the Lyndhurst office when necessary

Job Requirements

  • Minimum of 5 years of experience directly related to office management/administrative responsibilities
  • Proficient in typing, formatting and preparing documents
  • Superior interpersonal skills
  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • Solid verbal and written communication skills with keen attention to detail
  • Ability to work independently and as a member of a team
  • Ability to maintain confidentially
  • Proficient in Microsoft Suite of products
  • Experience in engineering or construction environment and Deltek Vision helpful; but not required
  • Basic math proficiency including use of a calculator
